Does EHSFlow cover the whole EHS cycle?+
Yes — from directives and documented acknowledgement through risk assessment, incident and action management to inspections, mandatory dates, qualifications and the legal register, EHSFlow maps the operational EHS cycle end to end. EHSFlow is an organisational tool for documentation and follow-up — it does not replace legal, safety or professional advice; the professional and legal responsibility remains with the operation.
We keep our directives as Word/PDF today. How do they get into the system?+
Existing documents are captured as directives with reference number, category and validity — we handle that together during the pilot setup. From then on, every change runs as a new version with a change note.
How do we move from SharePoint or Excel to EHSFlow?+
You choose the path: CSV/Excel import with a template, AI-assisted document import (upload a folder, the system proposes a structure) or a direct SharePoint import. For ongoing operations: automatic employee provisioning via Entra ID (SCIM) and a REST API for your own integrations. During the pilot we handle the migration together — whichever path you take.
How exactly does the acknowledgement record work?+
Every assignment can carry an acknowledgement requirement. Those affected see their open tasks, confirm the current version, and the system records the read and confirmation timestamps — per person, per version, with a deadline.
Where is our data held?+
In the EU (Frankfurt). Hosting and database run in European data centres; a Swiss data location is on the roadmap.
What happens if someone does not respond?+
Reminders go out 30, 14, 7 and 1 day before as well as on the due date. If confirmation is still missing, the system escalates step by step: area manager, person responsible, EHS manager.
How does EHSFlow stay current with new regulations?+
The regulatory radar add-on checks publications from the federal level (Fedlex, EKAS/CFST — the coordination commission for occupational safety, Suva — the accident insurer) daily, along with configured cantons and the EU, summarises changes in plain language and links them to your affected directives. Each organisation decides for itself which levels are active. This is an automated processing of publicly available sources with no warranty as to completeness, accuracy or timeliness and is not legal advice; only the official original sources are binding — the results must be verified independently.
What does EHSFlow cost?+
Three flat tiers by size of operation: Starter CHF 290, Professional CHF 490, Enterprise CHF 890 per month — all building blocks included, no per-user costs. Annual plan −15%. The regulatory radar add-on costs CHF 190 per month and is included in the Enterprise tier. Pilot partners start with 6 months for CHF 190 per month all-in.
What does the implementation cost?+
We bill the one-time implementation (directive capture, mapping of areas, activities and roles, training) at CHF 160 per hour — the effort varies depending on your starting point, typically 4 to 24 hours. After the initial call you receive a binding estimate, as a fixed price on request. In the pilot programme the setup is included.
Is EHSFlow available in multiple languages?+
This website is available in German, French, Italian and English. The product interface itself currently runs in German; further application languages are on the roadmap.
Can we map our safety organisation in EHSFlow?+
Yes. Your safety organisation under EKAS/CFST Directive 6508 (the coordination commission for occupational safety) — safety officers (KOPAS), EHS managers and the involvement of ASA specialists (occupational physicians and other occupational-safety specialists) — can be represented and documented in EHSFlow.
